Documents Naming & Revisions

FAQs  |  Feedback

Every organization must use a standardized naming convention for controlled documents. Using a naming convention allows for unique identification, traceability and alleviates duplication.

Documents fall under five basic categories:

Most organizations organize their document naming using specific category codes for each type of document.  Please see your facilities Standard Operating Procedure on Document Naming for more specific information.

A general look at how controlled documents are numbered:

General Document Numbers

General Documents are typically numbered as follows:

####-##-###-####-##

2210–77–087–0001-01

Sheet Number (Refer to Section 7.1.5)

Unique Sequence No (Refer to Section 7.1.4)

Document Type (Refer to Attachment C)

Functional Code (Refer to Attachment B)

Plant Number (Refer to Attachment A)

Plant Number - {####-##-###-####-##}

Plant Number is the first identifier on all Documents, and relates to the specific plant or area the Document is prepared for.

Functional (Discipline) Code - {####-##-###-####-##}

Functional Codes is the second identifier on Documents, and relates to areas of discipline within your facility, such as civil, structural, piping, and electric – just to name a few.

Document Type - {####-##-###-####-##}

The document type identifier provides a cross reference of the document type to the category code being used. A category is a parent object to a document type (for example -  category = drawing, type = P&ID)

Train and Sequence Numbers - {####-##-###-####-##}

The sequence number is a four digit number that provides a unique identifier for a document or drawing, and will ascend with the numbering of the associated plant.

Sheet Number - {####-##-###-####-##}

When a drawing cannot physically fit within the boundaries of the page limits, the document may be separated into sheets.  Each Sheet is signed and issued as individual documents, typically starting with 01 and ascending by one.

General Equipment Naming

Plant Number – Just like with General document numbers, Plant Number is the first identifier on all Equipment, and relates to the specific plant or area the equipment resides in.

Equipment Type – Assets developed in the Continuum Edge Asset and Tag Manager take on unique Equipment identifiers created in the system. The 2 letter codes are based on each assets discipline and description. For example, a mechanical pump has the equipment type code: PM.

Note: Piping and Hand Valve naming conventions are different from this general equipment naming. Please talk with your supervisor and/or administrator to find those naming conventions.

The equipment sequence number is a three digit number that provides a unique identifier for equipment, and ascends with the numbering of the associated plant.

The Component Number is optional and is only used when there are multiple motors as child objects to parent equipment.  For example, most Mills will have at least two (2) motors, so the mill would have 2 motor tags with component numbers of M1 and M2.
