Learn how to create resources and system users, and notify those users of their new accounts.



The process for developing Resource Lists (Employees, Contractors, Vendors and Suppliers) is outlined below:

A Resource is a person that is assigned to a company.  If the resource is also a system user, a User ID must be entered. If a User ID is entered, additional tabs will be displayed so roles, rights boundaries and password information can be set.


All required fields will be in RED and must be entered in order to save the record.  At a minimum a user should enter in first, last name, email address, resource type (e.g. contractor), title (position) and associated company.

In addition to entering in address and contact information, it is critical the resource is assigned a workgroup(s) so that the software can identify assigned tasks based on task workgroup assignments. As an example, if a task is assigned to a particular company and workgroup, the software can identify a list of potential resources that can perform the task based on responsible company and workgroup.

Select “Rights Boundaries” tab to restrict users ability to modify information based on three (3) configurations:


  • Areas (location tree)
  • Systems (systemization tree)
  • WBS Stages (work breakdown structure)


If a user is responsible for a specific area(s), system(s) and stage(s), then select which items that should be assigned.  This restriction is used so when a user logs in to see a collection of tasks, the tasks displayed are associated with 3 configurations.  This limits the user viewing content that is out of their responsibility.

Select “Role Profiles” to assign a user a collection of roles and rights.  A role (e.g. PMT Weekly Report Approver) includes a collection of rights (e.g. create, edit and approve), and a role profile is a collection of roles.


The role profiles are designed to configure CE so that a collection of roles and rights are assigned to a user in a simple more efficient manner.
